The support from Footprints team has always been fantastic, but during this period of Corona virus they have been just awesome. Cloud accounting frequently asked questions

Do I need to be on the cloud?

From 1st April 2019 all VAT-registered businesses with a taxable turnover above the VAT threshold are required to keep records digitally and use appropriate software to submit VAT returns. So, the quick answer is, if you are VAT registered then yes you need to be on the cloud. However, it gives you far more benefits than just being legally compliant. It will save you time, help you understand your numbers and you can access it anywhere. It’s a great benefit to any business.

What are the benefits of cloud accounting?

In our opinion it does two things. The traditional accounting, the boring stuff that you must do, invoicing, bookkeeping, VAT returns, invoice chasing, to name a few.

But also, the strategic side, the reports and the budgeting. We believe that it is crucial that you understand your numbers, how the business is doing today and why. What projects, products or services are going well? What are you margins overall and per service? Who are your best customers; highest turnover, highest profit margins and quick payers? What are your financial plans for the future?

You can also access it anywhere, with unlimited users. We can be working on your file at the same time as you and your team.

Does it cost a lot of money?

There are many different solutions, to include QuickBooks, Xero, Sage. QuickBooks for example ranges from Simple Start to the Plus Version. We can advise you which one best suit the requirements of your business. The Plus version retails at £32 plus VAT per month. At Footprints we buy these licences in bulk and sell these on at £20 plus VAT per month.

Is it hard to use?

These are developed with business owners in mind rather than accountants and they are getting easier. There are free courses we can point you to which are generic, we could then do a couple of hours of one to one if needed.

Which one do you recommend?

We are happy to work on all cloud accounting software. However, for us, it would have to be QuickBooks Online. It is the world’s number 1 cloud accounting solution for small and medium businesses.

Is cloud accounting secure?

To answer this question first, think about how you store your financial data at the moment.

Most likely it is stored on a computer and is moved around over email or on a USB stick. This could be lost in a fire, flood, burglary, left on a train or simply dropped down the back of the sofa.

If someone had access to your laptop they still could not login to your cloud accounting software due to you using a secure password.

All of your financial data is automatically backed up and would remain fully up to date.

With cloud accounting, not only is there more than one backup, but your data is backed up in multiple locations. Cloud accounting company QuickBooks state that their data centres have 24/7 onsite security and strictly controlled access.

Cloud applications use encrypted connections when transferring data. This means that the data is encrypted before it’s sent from your device to the remote server and then again when it returns. This means that it cannot be intercepted and read by a third party.

So, in our opinion – yes, cloud accounting is safe.

Will it work for my business?

Absolutely it will. We have clients from £10,000 per annum turnover to £10,000,000 across a variety of sectors.

Do I need to be on the internet?

You can access your accounts anywhere and anytime, on a variety of devices, phones, tablets, laptops, and desktops. This is provided you are connected to the internet.

Will it save me time?

Absolutely, you can connect to your bank and quickly process the downloaded transactions. Recurring transactions will just run each time, for example monthly invoices. These can be sent online rather than printing and posting. Rules can be established so that the software automatically knows where to allocate items.

There are many ways that the software itself will save you time but when you start to add apps, it truly becomes life changing, giving you back so much of your time.   

Is there an app for that?

Currently there are over 650 apps that will integrate with cloud accounting software, and these continue to grow.
